PARTICIPATION GUIDELINES AND REGULATIONS
GENERAL SPECIFICATIONS
1. Encuentros del Otro Cine (EDOC) is a non-competitive international festival of creative documentaries organized by Corporación Cinememoria which is a non-profit organization based in Quito, Ecuador. In order for a film to be invited to participate in the festival, it must be submitted by its copyright holder/ownership rights holder in accordance with the rules established in these regulations.
2. The festival will be held on-site in the city of Quito from October 6 to 15, 2023, with the possibility of extending it to a second city in Ecuador on a smaller scale.
3. The Cinememoria Corporation will receive registrations for the twenty-second edition of the EDOC starting on May 1, 2023. The closing date will be June 15, 2023.
4. A maximum of two documentaries may be submitted by the same participant.
5. The theme and duration of the participating works is of free choice. The works must express the point of view and artistic intention of their author(s). Journalistic reports, wildlife documentaries and institutional films will not be considered.
6. By submitting a film, the participant authorizes the festival to screen the film three to four times in case of being selected, accepting that the festival cannot grant an economic payment for the participation of the film in its official selection and screening. This authorization is irrevocable.
7. Selected films that have been properly registered may not be withdrawn from the festival program. Once the film has been selected the rights holder agrees not to make any public or televised exhibition in Ecuador before the end of the festival, with the exception of press screenings or in a private professional context.
8. Documentary films are screened in their original version in Spanish or with Spanish subtitles. Therefore, the films submitted must have a Master version subtitled in Spanish or at least a list of Spanish dialogues.
9. The festival will only accept works completed after January 1, 2020 that have not had a television premiere or commercial exhibition in Ecuador. Films that have been screened at other festivals or exhibitions in Ecuador will be invited to participate in exceptional cases.
10. The EDOC Festival will accept submissions of national films in the post-production stage as long as the copyright holder/ownership rights holder of the work commits to have it finished by August 13, 2023.
REGISTRATION
11. Registration is done online and is free of charge. The registration of a film implies that the applicant has accepted these rules and guidelines.
12. We emphasize that, by registering the film, the film cannot be withdrawn from the program once it has been selected.
SELECTION PROCESS
13. The selection is the responsibility of the festival’s programming committee. No details about the selection criteria will be disclosed to the participants.
14. Participants whose works have been selected will be notified by the programming committee. Works that have not been selected will be notified by email.
SUBMISSION OF SELECTED FILMS
15. At the time of registration, participants agree to send, if selected, a screening copy of the film in DCP and .mov format as well as the basic promotional materials such as stills, posters, dossier, etc.
CATALOG, PRESS AND PUBLICITY
16. The information provided in the personalized registration form will be used in the preparation of the festival’s catalog, website and newspaper. Decisions about editorial content are the sole responsibility of the festival.
17. The festival may use still images or fragments of up to three minutes of the films in the official selection in any of its printed, electronic or audiovisual publications. When the duration of the film is less than 30 minutes, the fragments shall not exceed 10% of its duration.
I have read the festival’s rules of participation and I accept them. I authorize on behalf of the copyright holder/ownership rights holder the public exhibition of the film at the EDOC festival under the conditions described in the regulations
